This notice covers two things, which we keep apart below: what happens to information you give us through this website, and what happens to information we hold if we provide your care. Care records are kept in our separate care management system, not on this website.
What information we collect
Through this website
- If you use our contact form: the details you enter, which are your name, phone number, email address (optional), postcode, who the care is for, the kind of help you are looking for, when you would like care to start, and any message you write. The form sends these to our company mailbox by email. This website does not keep a copy.
- If you apply to join our team: your name, phone number, email address, the role you are applying for, your CV and any cover note you write. The form sends these to our company mailbox by email, with your CV attached. This website does not keep a copy of your CV.
- When you send either form: to limit spam, the website briefly keeps a scrambled (hashed) record of your internet address and the time. It is only used for one hour, it cannot be turned back into your address, and the form script clears it out automatically.
- If you load the map on our Contact page: the map is provided by Google Maps. It does not load automatically. If you choose "View location on Google Maps", the map is loaded from Google, and Google may receive information about you, such as your internet address. You can use the whole website without loading the map. See Google's privacy policy.
- Cookies and similar technologies: see the Cookies section below.
If we provide your care (our care management system)
We hold the information we need to plan and deliver safe care, including your contact details, health and care needs, and records of your visits.
How we use your information
Through this website
- Contact enquiries: we use your name, contact details and message to reply to your enquiry. We do this under our legitimate interests in responding to enquiries.
- Job applications: we use your name, contact details, CV and cover note to assess your application and carry out pre-employment checks, such as right to work and DBS checks, which we also do to meet our legal duties as a registered care provider. We do this to take steps, at your request, before a possible contract of employment. We do not rely on consent for this. If you are not appointed, we keep your information for 6 months after the recruitment decision, under our legitimate interest in responding to recruitment queries or legal claims, and then delete it securely (see How long we keep your information). If you ask us to keep your details for future vacancies, we keep them for 3 months, based on your consent, which you can withdraw at any time. You have rights over your application, including to see it, correct it or ask us to delete it (see Your rights).
If we provide your care (our care management system)
We use your information to provide the care agreed with you or the organisation arranging it, and to meet our legal duties as a registered care provider. Health information is used only for providing health and social care, and is kept confidential.
To plan visits and travel times, your address may be sent securely to Google so it can be turned into map coordinates. No other details are sent with it. Google may process this outside the UK, with appropriate safeguards in place. We keep the coordinates for no more than 29 days. You can object to this at any time, and it won't affect your care.
How long we keep your information
We only keep personal information for as long as we need it, then delete or destroy it securely.
- Enquiries about our care services: 12 months after the last contact
- Job applications that are not successful: 6 months after the recruitment decision
- Care records: 8 years after the last entry
- Staff records: 6 years after employment ends
If you ask us to keep your details for future vacancies, we will keep them for 3 months and then delete them securely.
Full details are available on request.
Your rights
You can ask to see, correct or delete your information, ask us to limit how we use it, or object to how we use it. Some rights only apply in certain circumstances. To make a request, contact us at info@glowgoldhealthcare.com. We normally respond within one month.
If you have a concern about how we use your information, please contact us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
